In order to keep the events running smoothly and without major delays, BC (Bout Committee) needs everyone’s help with the following:


All memberships must be valid competitive memberships. No paper upgrades will be done on site and no computer will be available for online upgrades on site.

Date of Birth must be verified on the current valid membership card or proof (passport, state-issue ID, birth certificate, etc.) must be provided. No exceptions.

The list of registrants who have not checked in will be called aloud 5 minutes before the close of registration along with a "5 minutes to close" announcement. When the close of registration is called, the event will start. There will be no delay for late registrants. Similarly, there will be an announcement when all pools are in for each event; the fencers will have 5 minutes to address with BC any incorrect information they find. As soon as the 5 minutes have elapsed or all issues have been addressed, whichever comes second, the DE's will start.

Due to the higher than expected registrations and limited number of strips, the 3-call rule will be in effect (3rd call to strip means a no-show). For fencers in multiple events this means bouts will be delayed if there are other bouts that can reasonably be fenced without delaying the event or tournament, but the bouts will not be delayed if it will delay the event or tournament overall. Bouts, delayed or not, will not be announced in any special way; it is up to the fencers to pay attention and listen for their name being called. Events will be assigned to particular strips and this information will be posted so as to minimize the chances of missing a call to strip.

There will only be a 5 minute window to check pool scores for accuracy once all of them are in. Each fencer should check 1 row and 1 column on their pool sheet (their points scored and their points received) before signing on the right side of the page. There will not be any space for the V/TS/TR/Ind/Pl boxes on the pool sheet. If there are any issues that need to be addressed once all the pools are in, it is up to the fencer to bring him or herself and the opponent against which they feel the score was incorrectly recorded to the BC. There are plenty of phone apps that can help with score recording/memory if a fencer doesn't yet trust their own ability to remember the scores for all their bouts; a fencing journal, scrap paper, or blank pool sheet printed from home could all be useful, also.

Referees will return pool sheets to the BC, but fencers will return their own DE slips (not parents, coaches, or referees). The fencer returning the slip will be asked to confirm their name and the bout's total score. This is the last chance to catch any errors. Once the slip is entered into the computer, the score is final and will not be changed unless the operator entered it into the computer differently from the slip. This means if Fencer A confirms a slip that says Fencer B won 15-4 when the score was supposed to be Fencer A won 15-4, then Fencer B is the one who competes in the next bout and not Fencer A.

For Armory check-in:

DO NOT BRING EQUIPMENT BAGS TO THE CONTROL TABLE, only bring the following:

Mask
Mask cords: remove old inspection marks
Body Cords: untangled and separated with old inspection marks removed
Lames: zipped up and right side out, no hangers
Gloves
Weapons are checked on the strip

Armory check-in is open on Friday 5-8pm for those who are already in town to compete early Saturday morning.

In addition, the organizers would like you to be aware of the following: due to the higher than expected participants expect limited strips and tight space. No fencing bags or chairs are allowed in the fencing hall. There will be designated space for the fencing bags, outside the fencing hall. For Pool rounds only fencers and coaches will be allowed on the strip. Parents will need to watch from the designated viewing area. When fencers are called to the strip, they should bring their extra weapon, body cord and mask cord only.

Foil & Epee Regional Youth Circuit for Region 6 in Apex, NC. Regular fee entry deadline January 19th. Payment required to complete entry.

Tournament information communications: Important tournament information will be communicated through the FRED e-mail system. Be sure your e-mail address is up-to-date.
The RYC (Regional Youth Circuit) tournaments are held throughout the season, similar to the Super Youth Circuit tournaments. There are NO national points awarded at Regional Youth competitions. RYC tournaments are open to current USFA competitive members eligible to fence in Open competitions and to foreign fencers with current FIE license.

Youth NAC: Y10 and Y12 fencers must participate in at least one RYC or SYC tournament prior to the regular registration deadline for the March/April Youth NAC in order to be considered eligible to compete. RYCs that take place before the Youth NAC but after the regular registration deadline will NOT be considered for meeting eligibility requirement for the Youth NAC. Y14 registration for this NAC is open and has no pre-tournament requirements.

Tournament Fees:

• Registration and payment is through AskFred. Your registration is incomplete until payment is made via askfred. If you want to make alternate payment arrangements, you must email the organizer at apexfencingacademy@gmail.com before January 19th.

• Regular fee registration period ends at 11:59pm on 01/19/2018.

• Late/Double fee registration period ends at 11:59pm on 01/26/2018.
Registration fee: $60 Event fee: $50

• Triple fee registration period ends at 11:59pm on 02/02/2018.

REFUND POLICY


The registration portion of the entry fee and any AskFRED surcharges are non-refundable, however the event fees will be refunded for an athlete who needs to withdraw and does so in writing on or before January 19th, 2018. To request a refund, send email apexfencingacademy@gmail.com
• There are no refunds after 1/19/2018, NO EXCEPTIONS.

Refunds will be processed 2-3 weeks following the completion of the tournament.

Event eligibility is determined by 2017-18 USA Fencing birth year requirements only (not specific day/month). Age verification required either by presenting: USA Fencing card stating Age Verified "Y" OR Copy of birth certificate, or other government-issued ID with photo.

Equipment check required (mask, lame (as appropriate), mask cords, and body cords). Armorer will be on-site.
Name is NOT required on uniform.
Blades: The maximum blade length permitted for Y10 competitions is 32 inches (Size 0, and 2)
Ratings can be awarded, however youth events do not use the E1 or D1 classifications. This means that these events are NR until they achieve C1 level or higher. See USFA ratings chart at: http://assets.ngin.com/attachments/document/0034/6264/Classification_Chart.pdf

100% advances to DE after pool results.

• Events will be mixed if less than 5 fencers of either gender
• No fence-off for third place; Medals awarded to 8th place.
• Fencers are responsible for ensuring accuracy of all posted information and must report errors to the bout committee immediately. This includes club affiliation, division, classification, date of birth, gender, spelling of name, etc . Errors in posted pool results must be reported to the BC immediately (within 5 minutes). Once DE round starts and tableau is posted, the pool results are final and no adjustments will be made. Check all scores before leaving the strip. Fencer signature on pool sheet and DE slip implies accuracy.

• Photography and filming is allowed, however NO flash photography is allowed near ongoing competitions.

Withdrawal:

• Withdrawal during pools: The pools must be fenced through the last bout. A fencer who withdraws, or who is excluded, is scratched from the pool, and his results are annulled as if he had not taken part.

• Withdrawal during DE: When for whatever reason a fencer cannot fence or cannot complete his bout, his opponent is declared winner of that bout. A fencer who withdraws does not lose his place in the overall classification of the competition.
